Arrow Facilities Management Limited is looking for a Finance and Administration Officer to join our vibrant team!
Key Responsibilities
- Preparation of Monthly Financial Reports: Prepare and present monthly financial reports to track organizational financial health.
- Monthly Project Performance Analysis: Conduct monthly project performance analysis to evaluate financial efficiency and project progress.
- Customer and Vendor Account Reconciliations: Ensure accurate reconciliation of accounts and prompt resolution of discrepancies.
- Bookkeeping and Filing: Maintain proper filing systems and accurate bookkeeping records to support financial accountability.
- Budget, Financial Reporting, and Contract Administration: Manage budgets, prepare financial reports, and oversee contract administration to ensure smooth operations.
- Petty Cash Management: Manage petty cash systems, maintain accurate transaction records, and prepare reconciliations for accountability.
- Payroll Management: Oversee and ensure the timely and accurate payroll processing while adhering to relevant regulations.
- Human Resource Compliance: Handle HR functions and ensure compliance with finance and HR laws, policies, and procedures.
- Office Administration: Ensure efficient office management by organizing documentation, maintaining records, and supporting administrative processes.
- Procurement: Oversee procurement processes, including supplier evaluations, sourcing, and ensuring policy compliance to achieve value for money.
- Debt Collection: Coordinate debt collection efforts to recover outstanding balances while maintaining positive client relationships.
- Project Costing: Support project teams by preparing and analyzing project costs to ensure financial efficiency and accuracy.
- Sales Proposal Writing: Collaborate with the sales team to develop compelling sales proposals that align with client needs and organizational goals.
Qualifications and Skills
- CPA Part II – Section 4 completed. This is a mandatory requirement.
- This is an entry-level position. Prior relevant experience in finance, accounting, or administration is an added advantage but is not mandatory.
- Advanced Excel skills and confidence working with IT systems, including databases.
- Think creatively and propose innovative solutions to organizational challenges.
- Demonstrated financial acumen and understanding of budgeting, finance, and contract administration.
- Strong problem-solving and decision-making skills.
- Ability to manage competing priorities and adapt to changing needs.
- High attention to detail and ability to learn and apply organizational procedures.
- Excellent written and oral communication skills in both English and Swahili.
- A positive team-oriented attitude, willingness to learn, and commitment to personal development, including leveraging AI tools to improve efficiency.
- Organized, punctual, and able to work with minimal supervision.
